A. 1193 North Ave. Building Relocation
Weekly Staff Update Meeting

Updates provided on both sites (see below) Discussion generated questions and issues to be considered:
1. Q: Will the change in leadership at the Commissioner level for BGS have a negative effect on the plan in place?
A: Not likely, given where we are in this process and the support for this
relocation throughout AHS.
2. Q: Size of the cubicle units slated to be at 101 Cherry St. continues to be a concern – what about when there are more than 2-3 clients in a visit?
A: Most visits will be able to be accommodated within the 8 x 8 cubicle. A couple of larger private rooms will be set up to meet the need of larger families/group interviews.
3. Q: Will the wall at 101 between the waiting area and the office area be floor to ceiling? If not – how will issues of privacy and noise be addressed?
A: It will not be floor to ceiling for multiple reasons including air handling. It should however be high enough to keep noise level manageable and privacy concerns addressed. Suggestion of a white noise machine being explored. This issue will be sent to BGS for further exploration.
4. Q: Parking in downtown continues to be of concern – how is this being addressed?
A: Our plan for staff relocated in the downtown area called for the same accommodations for these AHS staff as all other AHS staff currently working in this corridor. This includes a “first come-first served” availability at the108 Cherry Street Garage along with access to “park & shuttle” options. In addition – Mark is putting together a map of low/no cost parking in the area for staff use.We have not yet received a definitive response on this proposal.
5. Q: Will security be provided at both sites at the same level we currently have at 1193 North Ave.?
A: This is the goal and discussion is happening between the Security Company and AHS now to address this need.
6. Q: Will our Cleaning Crew be moving with us to both sites?
A: The contract with 101 Cherry St. includes their current cleaning service and they will expand this to the 2 floors we will be leasing. Some of the current cleaning crew at 1193 North Ave. will be deployed to the Williston site; BGS will make decisions regarding this. AHS Staff at 1193 North Ave. want to acknowledge the amazing job done by our Cleaning Crew especially in light of the many challenges of this building.
Q: After the lease is signed for the Williston site, can we have a site visit for some of the staff who will be moving there?
A: All visits must be arranged by Field Services through BGS. Jane will follow up on this after a lease has been signed.
Following the Staff Meeting, a brief meeting was held with Steve Woodward, Anne McBee, Julie Rollo, Mark Schroeter and Jane Helmstetter to discuss IT issues and next steps needed to ensure a smooth transition. Steve requested copies of the floor plans for both sites be given to him as soon as they are finalized and he will visit the sites to assess wiring needs. Mark will also follow up with a floor plan for the DOL site which can be accessed immediately. The question of how the billing will be handled also come up and will be deferred to AHS for direction.
II. Other Considerations/Updates
A. 101 Cherry Street Site
The plan for the layout of 101 Cherry Street were finalized by Guy Norwood from BGS and sent to the AHS Secretary’s Office and BGS to ascertain fit up cost for the plan and approval to move ahead with the next step of ordering modules and furniture. The lead time needed for this furniture is 3 ½ - 4 weeks.
B. Williston Site
Allen Palmer from BGS attended the Williston Planning Board Meeting on Tuesday, June 5. The Board voted unanimously to recommend to the Williston Select Board that they approve the change to the bylaws at their June 25th meeting which will allow for our relocation plan to move forward. This is the next hurdle in the lease signing process.
